Adding a new prospect.

crmSeries mobile app is available on the Apple Store and Google Play Store. Once crmSeries is installed you can log in using your email and the same password used on the full website. Once logged into the crmSeries mobile application, the company list is the default form that opens. To add a new prospect using the crmSeries mobile app follow the steps below.

  1. Select the plus (+) that is located in the upper right of the form.
  2. Enter the required information. The field labeled in red are required.
  3. Enter any additional information.
  4. Select the Save icon in the upper right of the form or select the Submit button at the bottom of the form.

Searching Account Records

Follow the steps below to search account records (Companies and Prospects) in crmSeries.

  1. Select the Companies Menu item at the bottom of the crmSeries mobile app to show the company list.
  2. At the top of the account form, enter a portion of the account name that you are searching for. NOTE: When entering the account name, crmSeries will automatically start searching the records.
  3. Selecting the Funnel at the upper right for additional search parameters.
    1. Enter a search value into one or more of the Advance Search fields.
    2. Select the Done button to search the account records.
    3. Select the Clear link to clear the search values.
  4. Tap on the account record to open the account.
  5. Selecting the “X” in the account search box will clear the search.

Searching Equipment Records

The steps below will outline the simple method to search for an equipment record.

  1. Select the Equipment icon at the bottom of the crmSeries mobile app.
  2. In the Search box at the top of the crmSeries mobile app, start entering a search parameter. NOTE: The search will look for matching make, model, serial number, or stock number.
  3. Tap a machine record to open the equipment record.
  4. Selecting the “X” in the equipment search box will clear the search.

Equipment Undercarriage Wear Measurement

Follow the steps below to measure the equipment undercarriage and calculate the wear. crmSeries will calculate the remaining wear for each component measured to determine the estimated replacement date. If you use a crmSeries ultrasonic meter that is Bluetooth enabled, measurements can be transmitted from the meter to the crmSeries mobile application.

  1. Search for a machine. Follow the steps for “Searching Equipment Records“.
  2. From the Equipment record, select the “+” in the upper right corner.
  3. Select the UC Measurement button. NOTE: If the UC Measurement button is not showing, verify that the machine category is set as a machine type that has an undercarriage. As an example, verify that the equipment category is set as Excavator or a Dozer. Follow the steps for Editing a machine record.
  4. On the Undercarriage Form, tap the Reading Hours to enter the current hours of the machine. Select Done after entering the hours to close the number keyboard.
  5. If the Wear Profile is empty, select Wear Profile to associate the machine with the undercarriage wear profile. NOTE: This step ONLY required for the first wear measurement. After the first undercarriage wear measurement, the undercarriage wear profile will be locked to the machine and no longer needs to be selected unless you want to change to a different wear profile.
    1. Start typing a wear profile to associate with the machine. You can type the model of the machine to locate a wear profile.
    2. Select the Close button.
  6. Select the optional items for the undercarriage wear measurement.
    1. Ground Conditions – Type of environment that the machine located.
    2. Work Conditions – Good, Fair, or Poor.
    3. Application – How is the machine currently used.
  7.  Tap on each component to inspect or measure. NOTE: It is NOT required to inspect or measure each component. Each component is divided into a left side and a right side.
    1. Sprocket – Good, Fair, or Poor
    2. Link Pitch – Sometimes called stretch and measures the stretch of the track chain. This measurement only requires an option selection. Select an Option and enter the stretch measurement.
    3. Master Link Pitch – Measurement of the Master Link stretch. This measurement only requires an option selection. Select an option and enter the stretch measurement.
    4. Bushing – Select an option (Required) and select a Method (Required) and enter a measurement.
    5. Link Height – Select an Option (Required) and select a Method (Required) and enter a measurement.
    6. Idler – Select an Option (Required) and select a Method (Required) and enter a measurement.
    7. Grouser – Select an Option (Required) and select a Method (Required) and enter a measurement.
    8. Carrier Roller – Select an Option (Required) and select a Method (Required) and enter a measurement. NOTE: There is a Front Carrier Roller and a second and third Carrier Roller.
    9. Track Roller – Select an Option (Required) and select a Method (Required) and enter a measurement. NOTE: There is a Front Track Roller and nine additional Track Rollers.
      1. If the Lower Track Rollers have full rock guards, you can use the crmSeries Track Roller Tool (Part Number: VSM-001-TRT) to measure the Track Rollers. Follow the steps below to use the crmSeries TR Tool.
  8. If using a crmSeries ultrasonic meter (Part Number: CH18-BLE4) to measure an undercarriage component, the Bluetooth indicator in the upper right of the crmSeries mobile app will be green.
    1. To measure a component with the crmSeries ultrasonic meter, select Ultrasonic as the Method.
    2. Select the Press to Measurement button.
    3. Select the Confirm button on the Ultrasonic Value form.
  9. To add images associated with a component, select the Camera icon or the Camera Roll icon. To view the images associated with an undercarriage component, select the Image View icon.
  10. To add comments associated with a component, select the Bubble Comment icon. Select Done to save the comments. NOTE: Selecting the microphone on the keyboard will convert speech-to-text.
  11. Select the Submit button at the bottom of the undercarriage form or the Save button on the upper right to save the undercarriage wear measurement. NOTE: After submitting the undercarriage inspection, the user will receive an email with a copy of the wear measurement attached.

Adding a New Inspection

Under the administration system of crmSeries, several types of inspection can be added. The types of inspection are listed below.

  • General – Typically used by Product Support Reps used to easily convey machine issues to their customers.
  • Trade – Used to document machines that a customer would like to trade-in for a newer machine. Trade inspection can be setup to automatically notify an equipment manager and are associated with a trade valuation and sales quote.
  • Service – Used for completing a machine field service and can automatically calculate the next preventative Maintenace interval.
  • Vehicle – Inspection for Dealer owned vehicles.

Follow the steps below for creating a machine inspection on the crmSeries mobile app.

  1. Search for a machine. Follow the steps for “Searching Equipment Records“.
  2. From the Equipment record, select the “+” in the upper right corner.
  3. Select the Inspection button.
  4. Select Inspection Type.
  5. Select an Inspection from the inspection list. NOTE: If there is only one inspection for the type selected, the inspection will automatically open.

    1. Select Next button.
  6. If you want to associate the inspection with a contact for the company, select the Contact box. This will open a list of contacts associated with the company that owns the machine being inspected.
  7. Tap on Hours and enter the hours on the machine hour meter. Select Done button.
  8. Select each Group to expand the group and enter the inspection responses. NOTE: If any Group is highlighted in Red, this indicates required images are within the group. Expanding the group will expose the required images. The required image label will also be red. Associating an image with a required item will turn the item label green.
  9. To add images associated with an item, select the Camera icon or the Camera Roll icon. To view the images associated with an inspection item, select the Image View icon.
  10. To add comments associated with an inspection, select the Bubble Comment icon. Select Done to save the comments. NOTE: Selecting the microphone on the keyboard will convert speech-to-text.
  11. Select the Submit button at the bottom of the inspection or select the Save button in the upper right of the inspection form.

Inventory Search

If crmSeries is setup to receive inventory data from a dealer’s backend system, the inventory can be searched on the crmSeries mobile app. Follow the steps below to search for inventory on the crmSeries mobile app.

  1. Select the More (3 dots) menu option (Lower Right).
  2. Select Inventory Search icon.
  3. The inventory will be listed.
  4. Select the Funnel in the upper right to open the Advanced Search filters. NOTE: Additional Advanced Search filter items can be viewed by scrolling the Advanced Search panel up and down.
    1. Machine – Select a filter option. Filter the search by Machine, Attachment, or All machine types.
    2. Branch – Select one or more Branches to filter inventory by Branch.
    3. Make – Select one or more makes to filter the inventory.
    4. Model – Enter all or part of a model to filter the inventory.
    5. Serial # – Enter all or part of a serial number to filter the inventory.
    6. Stock # – Enter all or part of a stock number to filter the inventory.
    7. Group Code – Select one or more group codes to filter the inventory.
    8. Class – Select one or more class to include in the inventory search.
    9. Fleet – Select the Fleet to filter the inventory search.
    10. Fleet Type – Select the Fleet Type if available.
    11. In/Out – Select to only include inventory items that are in, out, or select all (in and out).
    12. Status – Select one or more status.
    13. New/Used – Select All, New or Used.
    14. Hours – Slide the control to adjust the hours to include in the search.
    15. Year Range – Slide the control to adjust the year range to include in the search.
  5. Select the Done button to enter the Advanced Search. NOTE: Select the Clear link to clear all search parameters.
  6. Selecting an inventory item in the list will open the inventory detail view.

Vehicle Inspection

The crmSeries vehicle inspection is used to inspect a dealer owned vehicle. Follow the steps to add a new vehicle inspection.

  1. Select the More (3 dots) menu option.
  2. Select the Vehicles menu option.
  3. Select a vehicle from the vehicle list.
  4. Enter the Miles/Km and answer each inspection question.
  5. Select the Camera icon to add images using the camera or select the icon to the right of the camera icon to add images from the camera roll.
  6. Select Submit button or the Save button at the upper right of the inspection form.

Add New Machine

Follow the steps below to add a new equipment record to a company account.

  1. Search for the company account record that the equipment record should be added to. See “Searching Account Records“.
  2. From the Company record select the Related tab.

  3. If the Equipment record is not listed under the Equipment Related tab, select the plus “+” to add a new Equipment record.
  4. Enter the Equipment record. NOTE: Labels in Red are required fields.

    1. Make – Manufacturer of the equipment.
    2. Model – Model of the equipment.
    3. Year – Year of the equipment.
    4. Serial Number – Equipment Series number.
    5. Equipment Number – Customer Equipment Number.
    6. Stock Number – Equipment Stock Number.
    7. Category – Select the category for the equipment. NOTE: This is used to determine specifics about the machine. As an example, selecting a Dozer indicated that the machine has an undercarriage.
  5. Select the Save icon (upper right) or the Submit button. NOTE: The Equipment will now be listed under the Equipment Related tab. Selecting the newly added equipment record will open in view mode.
