Inspections

Inspection Type

Inspections groups are defined under Type. There are two types of inspections that are fixes and cannot be modified, Field Service and Vehicle. To add or modify inspection types, follow the steps below. NOTE: The steps below assume you have System Admin rights. To access System Admin, select your name in the upper right of crmSeries and select System Admin. If you do not see System Admin, you do not have system administrator rights.

Add Inspection Type

  1. Under System Admin, select Inspection, Types.
  2. From the Inspection Type list, select the Add button.
  3. Enter the Name of the Type.

Modify Inspection Type

  1. Under System Admin, select Inspection, Types.
  2. Double click or select the Edit icon (Pencil) for the row to modify. NOTE: Field Service and Vehicle cannot be modified.

Inspection Setup

The Inspection Setup section is where new inspections are created and modified. Inspections are divided into three different sections, Groups, and under groups are the inspection items, and for each item, there may be Responses, depending on the response type.  Below we will step you through setting up a new inspection.

Add a New Inspection

  1. Under System Admin, select Inspection, Inspection Setup.
  2. From the Inspection list, select the Add button.
  3. Enter the Inspection Details.
    1. Name – Name of the Inspection.
    2. Type – Select the Type of Inspection. NOTE: See Inspection Type section for information about Inspection Types.
    3. Default Template – Not used at this time.
    4. Equipment Required – Select this option if the inspection will be used for inspecting equipment.
    5. Trade Valuation – Select this option if the inspection will be used to valuate equipment trade amounts.
    6. Include Recondition Amount – Future enhancement to include quoting recondition amounts.
    7. Active – Select if the inspection should be active and available for use.
    8. Manage – icon controls to Edit (Pencil) and Delete (Trash can).
  4. Select the Save icon (Diskette) NOTE: The Cancel icon (X) will cancel the entry.
  5. Select the Name of the inspection to continue creating the new inspection.
  6. This will open the Inspection Group section. Select the Add button to add a new Inspection Group. NOTE: Under the Inspection Group is where all common type Inspection Items will be defined. As an example, you may have a group called Cab and all the types of items that will be inspection related to the cab will be listed.


  7. Enter the Group Details.
    1. Group – Name of the Group.
    2. Sequence – Defines the Order that the Group to appear in the Inspection list.
    3. Action – Save icon (Diskette), Cancel icon (X).
  8. Select the Items Tab.
  9. In the Group Dropdown list, Select the Group that the Items should be associated with.

  10. Select the Add button to add new Inspection Items (for the group selected in the Groups dropdown list).
    1. Item – Inspection Item Name.
    2. Response Type – The type of data for the Response.
      1. Date – Date type response.
      2. Muti-Selection – Allows more than one response.
      3. None – This will allow a comment for the inspection item.
      4. Number – Number type response.
      5. Satisfactory / Unsatisfactory – The response will be set as Sat or Unsat.
      6. Signature – The response will open a signature panel for a signature.
      7. Single-Selection – Allow a single selection response.
      8. Text – Allow a Text type response.
      9. Yes/No – The response will be set as Yes or No.
    3. Sequence – Defines the order that the Items will appear in the list.
    4. Require Image – Check if an image is required for the inspection item.
    5. Require Comments – Check if Comments are required for the inspection item.
    6. Require Response – Check if a response is required.
    7. Action – Save icon (Diskette), Cancel icon (X).
    8. If the Response Type of Muti-Selection or Single-Selection were selected, follow the steps to add responses under the section “Adding Inspection Responses”.

Adding Inspection Responses

Follow the steps below for adding inspection item responses.

  1. From the Inspection Item, select the Response Type link. NOTE: The link will only appear for Response Type of Multi-Selection and Single-Selection.
  2. From the Responses form, select the Add button.

  3. Enter the Response Details.
    1. Response – Response Name.
    2. Sequence – Order that the response should appear in the list.
    3. Severity Level – Selection of 0 – 3.
      1. 0 – Indicates no severity.
      2. 1 – Highlights the response in Green on the Inspection.
      3. 2 – Highlights the response in Yellow on the Inspection.
      4. 3 – Highlights the response in Red on the Inspection.
    4. Action – Save icon (Diskette), Cancel icon (X).
